The Art of Task Management as a Fibro Warrior and home-based small business owner: Tasks vs Ideas

Task management is an art. It requires a skillful balance between tasks and ideas, and an efficient way to process and document them. This is an art form that I completely butcher on a regular basis. I’ll get up the gumption and do an intro video soon, but a little background - In 2017, after years of chronic pain, migraines, many surgeries, and the emotional roller coaster that ensued, I was diagnosed with fibromyalgia. “Fibro Fog” is a common symptom of fibromyalgia that’s characterized by mental fogginess, memory impairment, and difficulty concentrating - making it difficult to stay on point during a flare.

Understanding the Difference: Tasks vs Ideas

Tasks and ideas are like two sides of a coin. While tasks are actions that need to be taken, ideas are thoughts that may or may not materialize into tasks. The key to effective task management is to differentiate between these two, a skill I learned the hard way.

Tasks: These are the actionable items on your to-do list. They are the things you need to get done, from replying to emails to attending meetings, and can often be broken down into smaller sub-tasks.

Ideas: On the other hand, ideas are the sparks of creativity that can lead to new tasks or projects. They might not be fully formed or actionable yet, but with some nurturing, they can grow into something significant.

Processing and Documenting Tasks and Ideas

The overwhelming feeling of having too many tasks can often lead to ineffective task management. It's like trying to read 62 tabs open on your browser – you might get the gist of each, but the details will likely blur together.

To prevent this, it's essential to process your tasks and ideas effectively. One technique is to categorize them based on their urgency, importance, or the specific project they're related to. This can help you prioritize and focus on the most pressing tasks.

Another technique is to break down your tasks into smaller, more manageable sub-tasks. This not only makes your task list less daunting but also allows you to track your progress more effectively.

And of course, it's crucial to document your tasks and ideas. This can be done in a notebook, a digital document, or a task management tool. Choose one that suits your workflow and stick to it. This will not only help you stay organized but also make it easier to review your progress or share it with others.

My Personal Journey

Learning to differentiate between tasks and ideas will hopefully be a game changer for me. I really need to find a way to stay on point with my to-do list, prioritize my tasks, and focus on what really matters instead of spinning in a circle thinking every idea that pops in my head is a task to complete.

I usually find myself, at the end of the day, exhausted and unproductive, realizing I hadn't even madea dent in my actual to-do list. My brain commonly feels like 62 tabs are open, while trying desperately to read them all at once.

But then about an hour ago I came across a simple yet profound saying: "ideas are not tasks”. In that moment my perspective changed. I realized that while ideas are important, they are not actionable items on my to-do list. Instead, they are the sparks of creativity that can lead to new tasks or projects.

This realization has inspired me to consciously focus on regaining my focus. I'm going to start creating systems to deliberately categorize tasks based on their urgency, importance, or the specific project they're related to. Hopefully this will help to prioritize and stay focused on the most inportant tasks. This should not only made my task list less daunting but also increase productivity and made it easier to track my progress.

And of course, I'll be sure to document all my tasks and ideas in a notebook, a digital document, or a task management tool. This process is known as SOPs, or standard operating procedures - a must for any business, or even household, to run effectively and efficiently. SOPs make it easier to review progress and teach vital operating procedures to others once business starts booming!
